Our client, a well-known global law firm, is looking for a temp-to-perm Legal Assistant to join their office in Naples, FL !
Responsibilities
- Collaborates with a team of estate planning attorneys and staff to review, modify, and finalize essential documents such as wills, trusts, and powers of attorney for client execution.
- Drafts cover letters, prepares and distributes documents, and handles client correspondence as needed to respond to inquiries or gather necessary information.
- Assists attorneys by independently coordinating and organizing resources for timely project completion.
- Prepares, transcribes, formats, proofreads, and finalizes legal documents from dictation, handwritten notes, or previous versions, as directed by attorneys.
- Manages merge documents, sends documents to clients via mail/email, and maintains updated client contact lists.
- Maintains both electronic and physical files of legal documents to ensure organized and accessible records.
- Screens calls, relays accurate messages, and responds to inquiries when attorney attention is not required.
- Schedules appointments and manages attorney calendars, organizing meetings for clients to review, modify, or sign documents.
- Acts as a witness or notary for document signings, including occasional off-site signings.
- Assembles and binds documents, ensuring they are well-prepared for client delivery.
Qualifications
- At least 1–2 years of legal secretarial experience, trusts and estates preferred.
- Strong technical skills, with excellent organizational, communication, and client service abilities.
- Proficient in MS Word (especially with Styles), Outlook, and experience with electronic document management systems (FileSite experience is a plus).
